This service covers the retrieval of certified duplicate marriage certificates and formal searches of the national marriage database to verify marital status.
The Consular Section coordinates with the Office of the Attorney General and the Registrar of Marriages in Nairobi to assist Kenyan citizens in the Philippines with marriage documentation.

1. Application for a Certified Copy of a Marriage Certificate

This service is for couples whose marriage was officially solemnized and registered in Kenya or at a Kenyan foreign mission but who require a new, certified legal copy of their certificate.

Required Documentation:

  • General Search Form: Duly completed and signed in block letters (available at the mission).
  • Copy of Original Certificate: A clear photocopy of the original marriage certificate or entry number (if available, this significantly accelerates processing).
  • Identification: Valid Kenyan e-Passports or National ID Cards of both spouses.
  • Consular Processing Fee: Paid in full via the designated consular channel.

2. Marriage Registry Search (Official Marital Status Verification)

A marriage search is conducted to verify an individual’s marital record against the central registries in Nairobi (covering civil, Christian, Hindu, Muslim, or Customary unions). This is frequently required by Philippine immigration, legal entities, or prior to wedding ceremonies abroad to prove eligibility to marry.

Required Particulars:

To minimize inconclusive results, the applicant must provide the exact details of the parties involved:

  • Full Legal Names: The complete names of both the bride and groom (including maiden names or structural name variations).
  • Marriage Details: The approximate date, location/county, and the religious or civil system under which the marriage was conducted.
  • National Identifiers: Kenyan National ID numbers or passport numbers of the parties.

Application and Search Guide

Digital Initiation (For Modern Records)

  • For marriages registered from 2021 onwards, log in to the eCitizen portal (oag.ecitizen.go.ke), navigate to the "Registrar of Marriages" module, select "Application for Certified Copy," pay the statutory registry search fee, and print the receipt.

Consular Docket Lodging

  • For historical records (pre-2021) or complex searches, schedule a consular appointment in the Philippines to submit the physical General Search Form, supporting identity documents, and consular payment vouchers.

Archival Extraction and Dispatch

  • The application packet is securely forwarded via diplomatic channels to the Registrar General’s headquarters in Nairobi. Staff manually trace the historical volumes or confirm database records.

Document Retrieval

  • Upon completion, the official Certified Copy of the Marriage Certificate or a formal Letter of Search Result is printed on secure government paper and returned to the mission in Manila for applicant pick-up.

Processing Timelines: Straightforward digital searches for modern entries are typically finalized within two (2) weeks. Archival searches for historical records or customary unions requiring physical registry tracing in Kenya can take approximately four (4) to eight (8) weeks.
